FOREIGN TRADE DOCUMENTS & LEGALIZATION OF DOCUMENTS

Some countries require legalization and/or confirmation of foreign trade documents. Legalization of a document means a procedure performed by the consulate or other diplomatic mission of the country in question, while confirmation is a procedure performed by the Chamber of Commerce.

By confirming documents, the Chamber of Commerce verifies the content and existence of a certain document at the time of confirmation. The information in the documents must always be explained in such a way that the Chamber of Commerce can be convinced of the correctness of the information.

The most common foreign trade documents to be confirmed at the Chamber of Commerce are sales invoices, packing lists, various certificates, etc.

The position of the Chamber of Commerce as the issuer and verifier of various documents is recognized. The Chamber of Commerce issues European Union Certificates of Origin, The ATA Carnet customs documents and CPD/China-Taiwan Carnets, as well as validates commercial invoices and gives recommendations to export companies, Full Confidence certificates and other special certificates.


VIENTIASIAKIRJAT.FI – ELECTRONIC EXPORT DOCUMENT SERVICE FOR FOREIGN TRADE DOCUMENTS

Foreign trade documents to be confirmed are sent via the Vientiasiakirjat.fi service to the Chamber of Commerce, where they are electronically stamped and sent back to the customer. Certificates of Origin and other confirmed and electronically stamped documents can be printed by yourself. The service speeds up the processing of documents - foreign trade documents do not need to be sent by post or be stamped at the Chamber of Commerce.

Exporters can apply for European Union Certificates of Origin and confirmation of other trade documents online at vientiasiakirjat.fi. The service requires registration.

HAND STAMPING OF FOREIGN TRADE DOCUMENTS AT THE CHAMBER OF COMMERCE
If you do not have the opportunity to use the electronic export documents service, you can come and have your foreign trade documents stamped at the office of the Tampere Chamber of Commerce. In order to guarantee the reliability of the sales invoice, the copy of the sales invoice that is left for archiving at the Chamber of Commerce must have the seller's binding signature. A signed copy of other documents to be confirmed must also be left at the Chamber of Commerce.
